What’s in QAaval

One system for quality, from goods-in to batch release.

QAaval is quality management software for UK food, drink and supplement manufacturers. Core covers the whole quality system. Add-ons extend it to planning, training and orders. Here is what’s in it.

Core: the quality system

Everything your quality system needs, joined up around the batch.

Checks: about 28 editable forms, including daily cleaning, machine pre-start, line clearance, CCP monitoring, metal detection, label, batch code and best-before checks, and reconciliation. Limits come from the approved spec, never typed in by hand.

Non-conformances, complaints and CAPA: contain, decide, find the cause, act, and check the fix worked.

HACCP plan and internal audits: plan versions, with CCP limits feeding the checks, and an internal audit programme.

Suppliers and goods-in: supplier approval, CoA and label checks at goods-in, quarantine and release, and certificate expiry reminders.

Products and specs: SKU spec sheets holding allergens, targets and limits, exported as a PDF. Allergens recorded on each ingredient build the product’s allergen profile.

Documents and SOPs: versioned, approved and read-and-signed, with a “See SOP” button at every task.

People: training records, a competence matrix and induction videos for every new starter.

Evidence: a PDF of every signed record, evidence packs by standard, clause or date, and “what this satisfies”, showing which clauses of your standards each record supports.

Batch records

One approved recipe for making it. One live record of how it was made.

Master manufacturing record (MMR): start from a format library (capsules, powders, gummies, drinks, food), then set the steps, the checks at each stage, materials and quantities. Limits are read from the product spec and the machine. Before-start conditions such as line clearance and room readings are built in. Every MMR is versioned and approved, and changes need a reason.

Batch manufacturing record (BMR): created from the approved MMR, so steps can’t be skipped or reordered. Filled in live on the shop floor and signed with a PIN. Weigh-out is checked by a second person and the equipment used is recorded. An out-of-limit reading raises a deviation automatically.

Release: a batch is released only when every condition is met, by an authorised person who didn’t make it.

Traceability and mock recall

From one lot to every customer, in minutes.

Trace forward from a material lot to batches, finished lots and customers, and back from a finished lot to every material lot and supplier. Quantities are shown at every step, with a mass-balance line. Export or print the trace as a PDF.

Mock recall: six guided steps, started from any lot, with a timer against your site’s target (4 hours by default). Stock you hold is labelled without placing a real hold, and the time taken and % accounted for are kept as evidence.

Signatures and audit trail

Who signed, when, and what the signature meant.

Everyone has their own login with multi-factor sign-in, and a personal 6-digit PIN. On a shared tablet, operators tap their name and enter their PIN. Every check, sign-off, approval and release is signed with that PIN.

For GMP record types, the first signature in a session also asks for the password and multi-factor sign-in, and the meaning of each signature is shown when signing.

Signed records are never edited. A correction is a new version that keeps who, what, when, the old value, the new value and why. Times come from the server, never a typed date.

A person can only do a check they are trained and signed off for, and release sits with the right role.

The shop-floor app

Scan, tap, done. Records made where the work happens.

QR labels on machines, lines, rooms, batches, lots and SOPs open the right screen after a PIN. Big buttons know the state: a machine offers a missing clean or pre-start check first, a batch shows the stage you’re at and the next step.

Photos and readings are captured as you go. The app keeps working when the Wi-Fi drops and syncs later, with paper forms carrying a QR code as a fallback.

Add-on modules

One system from order to dispatch, with quality at the centre.

At launch: production planning (batches by line and day, allergen running order flagged before the run, a planned batch carries into its batch record), a training academy (short video courses, quizzes and certificates of completion) and orders and invoicing (allocate released batches, dispatch with the right CoA and paperwork, invoice from dispatch).

After launch: suppliers and purchasing with an AI buying assistant (a person approves every supplier, order and payment), a staff rota with trained cover per shift, CRM, and R&D.

Your data and moving across

UK hosted, and yours to take with you.

Data is held in the UK. Each company’s data is kept separate, access is by role, and it’s backed up daily. You can export your records whenever you want.

We help you move across: spreadsheet import for suppliers, materials, customers and people, and help moving your forms and records. Migrated paper records can be marked as true copies, with one person migrating and another verifying.

Standards

Built around the standards UK makers work to.

HACCP, BRCGS Food Safety, SALSA, GMP for food supplements (21 CFR 111) and ISO 9001. QAaval helps you keep the evidence each standard asks for. Your certification body makes the decision.

FAQ

Questions buyers ask.

Does QAaval include batch manufacturing records?

Yes. Core includes master manufacturing records (MMR) built from a format library, and batch manufacturing records (BMR) created from the approved MMR. Steps can’t be skipped or reordered, weigh-out is checked by a second person, and a batch is released only by an authorised person who didn’t make it.

What size of business is QAaval for?

Small and growing UK food, drink and supplement manufacturers. Pricing bands cover sites with up to 30 or up to 60 users, operators included. For larger sites, talk to us.

Can QAaval stop a batch moving on when a check fails?

Yes. Batch record steps can’t be skipped or reordered, critical checks such as CCPs, metal detection, allergen changeover, label and line clearance can’t be marked N/A during a run, an out-of-limit reading raises a deviation, and a batch is released only when every condition is met.

What happens if the Wi-Fi drops on the shop floor?

The shop-floor app keeps working offline and syncs when the connection comes back. Paper forms carrying a QR code are there as a fallback.

Is QAaval an ERP? Does it replace our accounts package?

No. QAaval runs quality and the factory floor: checks, batch records, stock by lot, traceability, training and evidence. Keep your accounts package (such as Xero or Sage) for finance. The Orders and invoicing add-on handles orders, dispatch and invoices, with Xero or QuickBooks sync planned after launch.

Is QAaval suitable for supplement makers working to GMP (21 CFR 111)?

QAaval supports GMP for food supplements: MMR and BMR, second-person weigh-out, reconciliation, independent release and electronic signature rules for GMP record types. QAaval helps you keep the evidence. Your auditor or certification body makes the decision.

How do electronic signatures work on shared tablets?

Each person has their own login and a personal 6-digit PIN. On a shared tablet they tap their name and enter their PIN to sign. For GMP record types, the first signature in a session also asks for the password and multi-factor sign-in, and the meaning of each signature is shown when signing.

Can someone sign a check they aren’t trained for?

No. A person can only do a check they are trained and signed off for, and release sits with the right role. SOPs are read and signed in the app, and a “See SOP” button sits at every task.

Does it cover label checks and reconciliation?

Yes. Goods-in includes CoA and label checks, the check library includes label, batch code and best-before checks, and a reconciliation form is required when GMP is selected.

Can we move our existing forms, specs and SOPs across?

Yes. We help you move across, with spreadsheet import for suppliers, materials, customers and people. Migrated paper records can be marked as true copies, with one person migrating and another verifying.

How is QAaval priced?

QAaval is priced per site by site size, with operators included in the user count. Add-on modules are priced separately. Email hello@qaaval.com and we’ll talk through prices for your site.

When can we start?

We’re taking a small number of pilot sites for early 2027. Email hello@qaaval.com and we’ll talk through what a pilot would look like for your site.
